A service-oriented department committed to assisting employees, the Payroll group is responsible for ensuring that Institute faculty, staff, and student workers are paid on time, while adhering to Institute guidelines as well as federal and state regulations.
Rensselaer Polytechnic Institute is closely monitoring the COVID-19 outbreak and has implemented contingency planning to ensure the health of employees and safety of operations. Currently the Institute has extended social distancing and many employees are working remotely.
The Controller’s Office is maintaining normal operations and all mailboxes are being monitored.
In light of the expanded social distancing, the protocol for distribution of paychecks has been updated. It is important that employees who submit timesheets do so on schedule and timely so there is no disruption in your pay.
If you are set up for direct deposit, you will receive your pay as you have, with no interruptions. For employees who receive their pay via check, your check will be mailed to you.
For student workers your check will be sent to your campus, local or permanent address, depending on which of these addresses are applicable. If you reside in on-campus housing, the check will send to that address. If you reside locally off-campus, it will send to the local address. If neither of those addresses are applicable or you are off-campus and not local, the check will be sent to your permanent address.
To verify your address information is up to date, please use the Dirinfo Service to update your personal directory information. Log in using your RCS ID and password. If you are unable to edit your address please contact Directory Updates for assistance. Please note that it takes 24 hours before any updates will display in the directory.

Individuals may change their federal and state tax withholding elections by logging into their Rensselaer Self Service account. Links to instructions on how to do this appear below.

Please note that the IRS issued a new Form W-4 in 2020, and individuals must use this new version of the form for all new elections and updates to their current elections. Note that the new form differs significantly from the prior version.
2019 Form W-2s have been published to the Rensselaer Self Service accounts of those individuals who elected to have their W-2 forms provided to them electronically. Those individuals who did not elect to receive electronic W-2s had their forms mailed out to their permanent address in late January.
If you would like to elect to receive your W-2 online, please read information on how to make this election and provide your consent to receive all future W-2 statements in electronic format only.
