The Controller's Office is responsible for ensuring compliance with federal regulations and Institute policies governing the management of all capital equipment, including its use, location, maintenance and disposal. While Rensselaer's departments are responsible for overseeing their own equipment, the Controller's Office is responsible for keeping an accurate up-to-date master inventory.

Capital Equipment Procedures
This section describes the procedures used to manage and track the Institute's capital equipment inventory, and what the Institute's departments can do to help make the inventory system work in the best possible way.
To update asset locations, transfer assets between departments, or dispose of existing assets, please complete a Capital Asset Change Request Form and forward it to the Controller's Office.
If an item is purchased as capital equipment, a Bill of Sale Form must be completed and attached to the Capital Equipment Change Request/Notification Form. If the item was not purchased as capital equipment, the form must be completed and saved for auditing purposes.

Capital Equipment Expenditure Codes
Specific three-digit account codes are used to identify various categories of capital equipment at the time of purchase. Be sure to use these account codes whenever capital equipment is purchased.
